Conducting Rotary Business on the Web

Rotary International is encouraging you to use the Rotary Business Portal to carry out some aspects of RI business.

Accessible from a link labeled "Rotary Business Portal" on the front page of the Rotary Web site (http://www.rotary.org), the portal is an efficient, secure and direct link to RI headquarters.

To register for the Business Portal, Rotarians need their member ID, club ID, and district number, as well as a current e-mail address.

Your member ID is located on the membership list that is sent out along with the Semi-Annual Report. As club president or secretary, you should already know your club ID and district number (identified as district ID on the Web site). If you do not, you can request this information by telephoning or contacting the department of Data Services at data@rotaryintl.org.

Since Rotary International is encouraging all Rotarians to utilize the portal for business as it applies to them, we hope you will assist your fellow club members by providing club ID and district number information.

Applications available via the Rotary Business Portal include

: Password-Protected Applications for Club Presidents and Club Secretaries: To protect the privacy of all Rotarians, it is highly encouraged that club presidents and club secretaries maintain the confidentiality of their user names and passwords.

Updating Membership Data: This password-protected application allows current club presidents and club secretaries to edit membership data online. ˇ This application allows club presidents and club secretaries to view club data and view and edit member data, including adding and terminating members. Specific instructions for using the application are on the Web site.

ˇ Club presidents and secretaries can download a basic text file containing club membership data to import into mail merge, spreadsheet, or label-printing software. Some instructions are on the Web site.

ˇ Club presidents and secretaries also can view and/or print a formatted report in alpha order containing basic membership name, address and other information.

ˇ Online membership changes can be made at any time during the year, with the understanding that changes after 15 June and 15 December of each year will post to the next SAR period, and there will not be any online re-calculation of charges due for the current period.

ˇ Please note that district governors and district governor-elects have read-only access to this application. DGs and DGEs can download data (and any available reports) by club. Paying Semi-Annual Report (SAR) Dues

: This password-protected application allows current club presidents and club secretaries to pay semi-annual dues online with a MasterCardŽ or VisaŽ. ˇ For each semi-annual payment, dues will be calculated based on the info in the membership system as of 15 June and 15 December.

ˇ Dues can be paid online between 1 July - 1 August, and 1 January - 1 February of each year. ˇ A printable receipt for online dues payment will be generated at the time of the transaction. Entering Club and Club Officers Data/Online Official Directory:

This password-protected application allows current club presidents and secretaries to update their club information in the RI database for listing in the Official Directory, and to access an online version of the Official Directory

. ˇ Data regarding clubs' meeting days, times, locations, phone numbers, postal codes, and club URLs (Web site addresses, which will only appear in the online version of the Official Directory) can be updated here.

ˇ Each officer position is listed with a dropdown menu containing the name of each club member. Officer positions can be assigned for current and upcoming terms. A club's Club Internet Communication Officer can also be specified.

ˇ In order for data to be included in the next Official Directory, available every 1 July, the data must be entered no later than 10 March of the same year.

ˇ A secured-access online version of the 2002-03 Official Directory also will be available for district governors, district governor-elects, club presidents, and club secretaries. It includes information on current committees, task forces, RI Board members and Foundation Trustees, as well as a searchable database containing all club and district data, including club URLs.

Applications for Rotarians: Online RI Meetings Registration:

Rotarians can register online for the annual convention with a MasterCardŽ or VisaŽ. ˇ Registration forms are completed online, and a printable receipt will be generated. ˇ An e-mail confirming the online registration/payment will be sent after the transaction is complete.

ˇ A second e-mail containing a registration ID number will follow.

Applications for Rotarians and Non-Rotarians:

Online Contributions to The Rotary Foundation: Contributions to The Rotary Foundation can be made online with a MasterCardŽ or VisaŽ to either the Permanent Fund or the Annual Programs Fund.

ˇ Donors are asked to enter their member ID number and user name/password after the transaction is complete (note: this portion of the site is under construction, with enhancements expected to be installed by July 2002).

ˇ Donors who are not Rotarians will be assigned an ID number and will need to create a user name/password.

ˇ Non-Rotarian donors may apply their contribution to a specific Rotary club if desired. Online Publications Catalogue (currently accessible from the front page of the Rotary Web site): Purchasing items from the RI Publications catalogue can be made online with a MasterCardŽ or VisaŽ.

ˇ A shopping cart system allows users to select products, quantities, and the languages in which they would like the product.

ˇ After purchase, an e-mail will be sent to confirm the order. ˇ Orders will arrive within 7-10 business days. At this time, RI online applications will accept payment via MasterCardŽ and VisaŽ only. Step-by-step instructions for use of each application are on the Web site.

The Rotary Business Portal is available in the eight official Rotary languages. To maintain the integrity of RI data, user instructions will be translated into those languages, but the actual data for these applications will remain in English. Entries into text fields need to be in Roman characters.

These online applications continue our effort to help club and district leaders work more efficiently, while enabling all Rotarians to communicate more effectively with RI. We encourage you to take the time to post feedback via the Web


ROTARY FOUNDATION MONTH - NOVEMBER

As we enter the annual Rotary Foundation month and approach the halfway point of this Rotary year I feel it is opportune to talk of the secret society that this District has become.

During the period of July to the end of September your Club, or Club Officers have been addressed by either your Zone Foundation Rep, the D.G. or myself on the Polio Eradication Campaign. The response from all Clubs was very positive.

Your enthusiasm to back this cause gave us enormous confidence that this district would certainly meet its objective. To be able to share your ideas and activities with clubs, not only within this district but also with clubs around Australia and the rest of the Rotary World, we asked clubs, through their Group A.G., to advise the Foundation Chair of their activities.

And then the Secret Society Struck!!!! In four months we have only had advice from six clubs of SPECIFIC fundraising ideas. Nearly 90% of this District belongs to this secret society. Gratuitous lip service whilst you are in their company and then out of sight out of mind. How do I know? Easy.

I am now a member of this Secret Society. The Rotary Foundation has asked me to pass on the ideas of this district to share world wide. A chance for District 9550 to blow its trumpet in the wider Rotary world. A chance to show the Rotary world we care.

I told them about the Operetta in the Park, the Murder Mystery night, the Club who just wrote the cheque to get rid of me (thought that might start a trend), the two clubs organising film nights and then ........... nothing.

When the D.G. or The Foundation asks me what District 9550 is doing I can now positively and ashamedly tell them that its a SECRET! I don't like and don't want to be a member of this secret society and only join under duress.! To me this is not service above self! To me this is not fair to all concerned! To me this is not Rotary!

At the Mt Isa conference we had ready agreement on our commitment to this District's objectives in both the Annual Giving and the Polio Eradication Campaign. Now is the time to come out from this cloak of secrecy and let the Rotary world know that we can back up our commitments with communication and $$$$.
